Prerequisites
Before you begin, make sure you have:
- Login Credentials: Tenant code, email, and password from administrator
- School Information: School name, contact details, logo (optional)
- Student Data: At least one student's information and photo ready
Login to Your Tenant
Visit the EduSchools login page and enter:
- Tenant Code: Your school's unique identifier (e.g., RKS123)
- Email: Your admin email address
- Password: Your initial password
You'll be prompted to change your password on first login. Choose a strong password with at least 8 characters including uppercase, lowercase, numbers, and symbols.
Configure School Settings
Navigate to Settings and fill in your school's information:
- School Name: Official registered name
- Address: Physical location details
- Contact: Phone, email, website
- Logo: Upload your school logo (optional but recommended)
This information appears on reports, invoices, and communications.
Configure Student Numbering
Go to Students → Settings → Student Configuration:
- Choose Pattern: School Initials (RKS00001) or Numbers Only (00001)
- Starting Number: Set if using custom numeric start
- PIN Length: Choose 4-10 digits for student PINs
Tip: Most schools use the initials pattern for easy identification.
Create Your First Family
Navigate to Students → Families → Add New Family:
- Family Name: e.g., "Smith Family" or "The Johnsons"
- Family Head: Primary contact person
- Phone: Contact number
- Email: Email address for communications
Click "Create Family" to save.
Families group siblings together, making it easier to manage parent communications, combined billing, and family discounts. Every student must belong to a family.
Add Your First Student
Navigate to Students → Add New Student:
- Photo: Upload a clear recent photo (JPG/PNG, max 5MB)
- First & Last Name: Student's full name
- Gender: Select from dropdown (required)
- Date of Birth: Use date picker
- Family: Select the family you just created (required)
Notice that Student Number and PIN are automatically generated! You can edit the PIN if needed.
Click "Create Student". The system will:
- Resize and save the photo
- Generate a barcode automatically
- Save all information
View Your Student
Click "View" next to your new student to see:
- Student photo (resized to perfect size)
- Auto-generated barcode
- All student information
- Family connection
The barcode can be printed on ID cards and used for scanning systems!
Add Staff Users
Navigate to Users → Add New User:
- Email: Staff member's email
- Name: Full name
- Role: Select appropriate role (Teacher, Admin, Clerk)
- Password: Set initial password (they can change it later)
Create accounts for all staff who need access to the system.
Set Up Academic Structure
Navigate to Academics to configure:
- Grades: Add all grade levels (Grade 1, Grade 2, etc.)
- Subjects: Add subjects taught (Math, English, Science, etc.)
- Terms: Configure academic terms with start/end dates
This prepares your system for attendance tracking and marks recording.

Can I import existing student data?
Yes! Bulk import functionality is coming soon. For now, you can add students one by one or contact support for assistance with large data migrations.
What if I make a mistake?
You can edit any student information at any time by clicking the "Edit" button. Photos can be replaced, and most fields can be updated except the student number (which cannot be changed after creation).
How do I print student ID cards?
Student photos and barcodes are sized perfectly for printing. Use the student view page to access high-quality images, then use an ID card template in your favorite design software.
Can I customize the student number format?
Yes! Go to Students → Settings → Student Configuration to choose between initials+numbers or numbers-only patterns. You can also change the PIN length.
